Documentation management - QSD

The QSD system enables dynamic creation, comments, approval, management and versioning of documents in the electronic form, their distribution and spreading in current computer networks. It has been designed mainly for management of the quality control system management, but due to its possibilities it may also be used for management of other kinds of documentation, e.g. documentation of the management system (EMS), technical documentation, documentation according to the requirements of ISO 18001 Safety at Work, documentation of the HACCP system for the food industry, business documentation – contracts, offers, etc. The QSD system consists of the following modules:

  • The Administrator Module enables creation of structured databases of controlled documents in its own text editor, use of the OLE technology for management of the documents already processed in the Microsoft Office system, management of the procedure dealing with comments on documents, allocation and distribution of documents to the defined users according to distribution lists, long-term filing and management of documents history.
  • The Client Module enables clients (users) of the QSD system – Controlled Documentation – to work with the database/ library of the controlled documents and to view and comment on documents according to the valid distribution lists.

  • Enables maintenance of any number of structured independent databases – document libraries
  • When the program is started, the user enters his/her user name and password for the selected database, which provides the document administrators with safe and unambiguous access to the created documents only.

Document list

basic information about controlled documents in the selected database:

  • document number/designation
  • document name
  • document type
  • document edition index
  • document classification
  • author and date of creation
  • person approving the document and the date of approval
  • person releasing the document and the date of release

Document history enables monitoring and management of:

  • information on previous versions of the document including their full wording
  • valid –distributed documents according the distribution list
  • documents in the procedure dealing with comments
  • documents in the period of creation

  • view documents according to the valid distribution lists
  • send comments to the document author
  • print of non-controlled copies from the internal text editor (if the document is permitted to be printed by the QSD administrator) – the user may print the document with a pre-defined heading – Non-controlled copy
  • Function for information and receipt of new/amended documents according to the distribution list for the client
  • Function for confirmation and receipt of new documents – with a record in the documentation registration sheet – access to the document
